
Planning a Wedding in Dallas from Houston: A Logistics Guide from Diamond A Ranch
Planning a wedding in Dallas from Houston (or really, anywhere outside the metroplex) can feel like a part-time job from 250 miles away. But rest assured, we host couples from Houston regularly and understand all the challenges that planning can bring. We’ve seen what wears folks out, what’s easiest to plan at a distance, and what’s best left in the hands of professionals.
If you’re thinking about tying the knot at our Ranch in Weatherford (about 45 minutes west of Fort Worth, roughly an hour from downtown Dallas), here are our must-have tips for the minimum amount of stress…and the maximum amount of enjoying the process.
The Drive vs. the Flight
By car, it takes about five hours to get to Weatherford from Houston, but that’s only when traffic is on its best behavior. There will likely be delays, so we recommend planning for six to six and a half hours.
It may sound like a lot, but I-45 to I-10 to I-20 is the most common route. And traffic there, especially through Houston rush hour and the Dallas–Fort Worth interchange, can become congested.
If you want to fly instead, there are two airports you can fly into:
- DFW Airport: Roughly a 45-minute drive to the ranch. Best for the wedding weekend when most guests fly in.
- Dallas Love Field: About an hour and fifteen from the ranch. Often cheaper from Houston Hobby, and rental cars and rideshare are easier. It’s also located closer to Downtown Dallas, so if you want to do any exploring during your weekend, this could be a great option.
Our advice? For scouting trips, fly. For the wedding week, drive. You’ll want a car you trust, room for dresses and welcome bags, and the freedom to leave when you want.
Step #1: The Scouting Trip
Seeing your dream wedding venue in person is one of the smartest decisions you can make in the entire wedding planning process.
Plan one weekend with two goals: touring the property and staying in the area. Book your Diamond A Ranch tour, and add at least one more venue tour for honest comparison if you’re inclined. While you’re here, stay at our Homestead Quarters on the ranch so you can walk the property at sunset (our favorite time of the day), not just during the tour.
Pair your tour with a date night in Fort Worth or a slow morning around the Granbury square and make a weekend of it. It’s a great opportunity for a quick couple’s getaway.
Step #2: Choosing Your Date
Texas has more wedding-friendly months than most states. We host year-round, and every season has its trade-offs.
- Peak: Mid-March through May, late September through early November. These wedding dates cost more, but have the best weather.
- Shoulder: Late November, early March, and June. Great value, and still beautiful.
- Off-peak: December, January, February, July, and August. The best price, but weather accommodations are necessary (especially during those summer months).
Something to keep in mind — Texas winter weddings are vastly underrated, and we have a real weather backup plan for every season. So you don’t have to feel as though you’re compromising if you choose an off-peak wedding date.
When planning from Houston, also check your vendor availability. Many of the photographers, planners, and florists you’d want to book require 12 to 18 months out for peak Saturdays. And ample time means less logistical stress from far away.
Step #3: Managing Vendors Remotely
This is the hardest part of planning a wedding at a distance, but don’t worry. We’re experts at making this happen for couples all over the state, not just Houston. And it’s why we highly recommend leaning on our preferred vendor list.
We’ve spent years building relationships with photographers, florists, planners, caterers, DJs, and officiants who already know our property, our timeline, and how we like things to run. You can save a lot of trips by trusting the list to start.
And when you’re in town, batch vendor trips. Try to plan as many as possible in one weekend — one for vendor selection, one for the final walk-through, one for rehearsal, and wedding week. We’ll help you stack tastings, design meetings, and trials into your time here.
Step 4: Guest Logistics
The best gift you can give your guests is a plan they don’t have to make. Keep it simple with these guidelines.
- Flying in: DFW has the most flight options, but both are doable. Share the choice with guests so they can pick what fits their travel.
- Where they’ll stay: Block hotel rooms in both Weatherford (15–20 min away) and Granbury (30 min away). Invite the wedding party to stay with you at the Homestead Quarters for even fewer logistical faux pas.
- Transportation: Most couples arrange shuttles from the closest hotel block to the venue on the wedding night. You can even find trusted shuttle providers in the area on our preferred vendor list.
Step #5: The Wedding Weekend
A typical Diamond A wedding spans three nights, from arrival to send-off.
- The wedding party stays at the Homestead Quarters for the full weekend — sleeps 18, with a full kitchen, big living room, and private pond outside. It will feel like a trip with friends and family as you prepare for the day of.
- Rehearsal dinner on the property is the easiest move if you want to keep things simple. We have several layouts and catering options readily available.
- A Friday-night bonfire by the pond, a casual barbecue, or a “drop in for drinks” hour at the Homestead Quarters – you’ve got options for welcome night here.
- Guests can explore the nearby Granbury historic square, have a Fort Worth date night, or simply roam the ranch itself — there are plenty of acres to see.
Keeping everyone close by will make it feel like a true destination wedding.

A 12-Month Planning Checklist for Houston Couples
The largest part of wedding planning starts 12 months out. Here’s how to keep everything smooth sailing, even from miles away.
- 12 months out: This is your scouting weekend. Come tour Diamond A Ranch, stay at Homestead Quarter, and then sign your venue contract from your couch when you get home. Choose your photographer and planner.
- 9-10 months out: Lock in your wedding date and book major vendors from our preferred list.
- 8 months out: Send out save-the-dates, and finalize hotel blocks.
- 6 months out: Trip #2 includes tastings, design meetings, or any other vendor meetups that must happen in-person.
- 4 months out: Send out invitations.
- 3 months out: Shuttle and transportation booked.
- 2 months out: Final headcount, final vendor calls, and finalize the seating chart.
- 1 month out: Trip #3 — final walk-through (if needed), and any last in-person meetings. Otherwise, most of these can be done online.
- Wedding weekend: Drive up Thursday and get ready for an incredible weekend.
